Missed call text back

Missed call text back, set up and run for you

Missed call text back sends an automatic text to anyone whose call you could not answer, usually within seconds, with a way to reply or book. The caller stays with you instead of dialling the next business. MoFluent sets it up on your business number, writes the messages, and handles the after-hours rules and consent basics for businesses across Canada and the US.

How it works

How missed call text back works, step by step

The idea is simple. The details are what decide whether it helps or annoys people.

01

The call goes unanswered

Your team is with a patient, on a roof or driving. The call rings out, hits voicemail, or the line is busy.

02

The system checks who called

Staff numbers, existing do-not-text contacts and repeat callers inside a set window are skipped, so nobody gets three texts for three attempts. Calls from blocked or spam numbers are ignored.

03

A text goes out

A short message from your business number: who you are, that you missed them, and the fastest next step. That might be replying with what they need, or a link to book.

04

Your team gets the thread

The reply lands in a shared inbox and on your phone, with the caller's number attached to a contact record. Anyone on the team can pick it up and answer.

05

Nothing falls through

If the caller does not reply and nobody calls back within the window you set, a task is created. Landlines cannot receive texts, so those callers go straight onto the call-back list.

Example messages

What a missed call text actually says

Short, from a named business, one clear next step, and a way to opt out. These are starting points; we rewrite them in your voice.

01

Contractor, daytime

"Hi, it's [Company] Electric. Sorry we missed your call, the crew is on a job. What can we help with? Reply here, or book an estimate: [link]. Reply STOP to opt out."

02

Clinic, front desk busy

"Hi, this is [Clinic name]. Sorry we missed you, the front desk is with a patient. Book online here: [booking link], or reply with your question and we will text you back shortly. Reply STOP to opt out."

03

HVAC, after hours

"Thanks for calling [Company] Heating. We are closed and back at 7:30 a.m. If you have no heat, reply HEAT and we will alert the on-call tech. Otherwise tell us what you need and we will reply first thing. Reply STOP to opt out."

Square brackets mark what we fill in for your business.

Missed call text back with your existing number

Customers already have your number on your truck, your Google listing and your fridge magnet. You keep it. There are three common ways to set this up, and the audit tells us which one fits.

  1. Forward unanswered calls. Your current phone provider forwards calls that ring out or hit busy to a number on the platform. That number rings your team, takes the voicemail and sends the text. Most carriers and business phone systems support conditional forwarding, though the setup differs by provider.
  2. Move your number onto the platform. Porting puts calls and texts in one place. It takes some time, and the old service stays active until the port completes.
  3. Add a dedicated business line. Some businesses use a new number for the website and Google listing. Marrast Contracting's only published number is a dedicated business line in its CRM, carrying both calls and texts.

One detail most providers skip: if your main number is a landline that is not text-enabled, the text has to come from another number. We make sure the reply comes from a number that clearly belongs to you, so the customer recognizes it.

After-hours behaviour

A missed call at 8 p.m. should get a different message from one at 10 a.m. After hours, the text says when you are back and offers a booking link, so the customer can act now. Trades with an on-call tech can add an urgent keyword that alerts that person. Follow-up nudges wait for business hours; nobody wants a "just checking in" text at 6 a.m.

Consent and CASL basics

In Canada, a text that promotes your business can be a commercial electronic message under Canada's Anti-Spam Legislation (CASL). The CRTC's CASL FAQ confirms the rules cover SMS, and says a text's unsubscribe option should let the person reply STOP or Unsubscribe. CASL also sets out implied consent when a person has made an inquiry to your business within the previous six months (paragraph 10(10)(e) of the Act).

In practice, that is why every message we write names the business, stays on the topic of the call, and includes an opt-out. Whether a particular missed call counts as an inquiry is a question for your own advisor, and our guide to missed call text back and CASL walks through it in more detail. For US numbers, carriers require business texting from local numbers to be registered under A2P 10DLC, and we handle that registration as part of setup.

Who uses it most

It fits any business where the person who answers the phone is also doing the work. Contractors on site, roofers, plumbers and HVAC techs miss calls every day; we cover the trades setup on missed call text back for contractors. Clinics miss calls during check-in rushes, which is why it is part of the 7-Day Clinic Rescue on the clinics page.

Questions

Frequently asked questions

What is missed call text back?

Missed call text back is an automation that texts a caller when their call to your business goes unanswered. The text says who you are, that you missed them, and how to get help, such as replying or booking online. It turns a call that would have gone to a competitor into a conversation your team can pick up when they are free.

How does missed call text back work with my current phone number?

Usually your current provider forwards unanswered or busy calls to a number on the platform, which sends the text and puts the conversation in a shared inbox. You can also move your number onto the platform or use a dedicated business line. You keep the number your customers already know in every case.

Is missed call text back legal in Canada?

It can be done within CASL. The CRTC says CASL covers text messages, and the Act gives implied consent for six months after a person makes an inquiry to your business. Each message should identify your business and offer a STOP option. Whether a specific missed call counts as an inquiry is worth confirming with your advisor; our CASL guide covers the details.

How much does missed call text back cost?

We price it after a free audit call. Cost depends on how your phones are set up today, whether we forward or move your number, how many locations or lines are involved, and what else it connects to, such as a booking page or CRM. On its own it is one of the smaller builds we do, and it often ships alongside instant replies to web forms.

What should a missed call text say?

Keep it short: your business name, a line acknowledging the missed call, one clear next step such as replying or booking, and a STOP option. Avoid promising a call-back time you might miss. After hours, say when you are back. We write every message in your voice and test it on real phones before launch.

Will it text people who call my landline from a landline?

It cannot, because landlines do not receive texts. Those callers are added to a call-back list instead, so your team still sees every missed call. The same applies to blocked or private numbers, which cannot be texted. Your team sees one list of every missed call, whether it got a text or needs a call back.

Does missed call text back work for contractors and clinics?

Yes. It suits any business where the person who could answer is busy doing the work: contractors on site, techs in a crawlspace, a front desk checking in patients. We adjust the message, the booking link and the after-hours rules for each, and keep the same opt-out and consent basics throughout.
