For physiotherapy clinics
The physiotherapy marketing agency that builds the whole path to a booked visit
MoFluent is a physiotherapy marketing agency that builds and runs the system behind a clinic: a website that answers the direct billing, WSIB and auto insurance questions patients ask, a Google Maps listing that gets found, and follow-up that catches every call. Booking goes straight into Jane or Cliniko, the tools your front desk already knows.
Where physio patients get lost
Physio patients arrive through four different doors
Private pay, WSIB, car accident and physician referral patients each have a different first question. Most clinic websites answer none of them.
The call during treatment hours
The front desk is checking someone in and taking a payment. The phone rings out, the caller tries the next clinic on the map, and without missed call text back nobody knows.
"Do you direct bill my insurer?"
If the website says "we direct bill" without naming the insurers you actually bill, the patient has to call to find out, and many will not.
The WSIB or car accident patient who does not know where to start
They want to know whether they need a referral, what to bring and who handles the paperwork. A generic services page does not tell them.
The referral that went quiet
A family doctor or surgeon sends a patient over. Nobody confirms the booking, the patient never calls, and the referring office never hears back.
What we build
What our physiotherapy marketing agency builds for your clinic
Physiotherapy clinic marketing for Toronto, the GTA and across Canada and the US. We build each piece around your clinic and your scheduler, then run it for you.
Physio website design that books
A page for each service and patient pathway, practitioner bios with their own booking links, and the insurance answers up front. Fast on a phone.
02Google Maps and local SEO
A Google Business Profile with the right categories, services, photos and posts, plus location pages that show which neighbourhoods each clinic serves.
03Missed call text back
Every unanswered call gets a text within seconds with your booking link, so the patient stays with your clinic while your team is treating.
04AI receptionist
Answers hours, parking, direct billing and "do I need a referral" at any hour, then sends the right booking link. It never gives clinical advice.
05Review requests and recall
A review request after a good visit, and recall messages for patients who stopped partway through a plan, within your College's rules.
06Referral tracking and reporting
Every enquiry tagged by source, including which physician sent it, so you can see where new patients come from.
Booking
Online booking that goes straight into Jane or Cliniko
Every booking button lands in the scheduler your front desk already runs. If yours has no online booking, we build a page around it, as we did for the clinic below.
Jane
Jane gives each clinic an online booking site and separate Book Online buttons for the clinic, each practitioner and each location. We put the right one on each page. Jane has no open API, so we measure bookings through its Google Analytics or Tag Manager integration. How we build around Jane.
Cliniko
Cliniko lets an administrator embed online bookings in a website with a short piece of code, and has a public API the clinic controls with its own key, which allows a closer connection to your follow-up.
Marketing for every physio patient pathway
The fastest way to lose a patient is to make them work out how to become one. Each pathway needs its own page, its own intake questions and its own follow-up.
| Pathway | What the patient needs to see | What we build |
|---|---|---|
| Private pay with benefits | Which insurers you bill directly, your fees, how to check coverage | A direct billing page that names your insurers |
| WSIB | That they can come to you first, what to bring, who handles the forms | A WSIB page and intake questions for claim number and employer |
| Motor vehicle accident | What to bring and that the clinic deals with the insurer | An auto insurance page and follow-up that collects claim details |
| Physician referral | How to send a referral and how quickly you book | A page for referring offices, a referral form and source tracking |
| Multidisciplinary | Which practitioner and which discipline to book | A page per discipline, each with its practitioners' booking links |
WSIB patients
Under WSIB policy, injured workers can make their initial choice of health professional from physiotherapists, chiropractors, physicians and registered nurses (extended class), within each profession's scope. Many patients do not know that, so your WSIB page should say it and list what to bring. If you deliver a WSIB program of care, such as the musculoskeletal program, say so plainly.
Car accident (MVA) patients
In Ontario, clinics submit auto insurance treatment plans, treatment confirmation forms and invoices to insurers through HCAI. Patients need to know you deal with the insurer and should bring their insurer's name, claim number and adjuster's details. Our follow-up asks for those before the first visit.
Direct billing messaging
Name the insurers you bill, say what the patient pays on the day, and tell them how to check their coverage. If you run Jane, its TELUS eClaims integration lets the front desk submit a claim and get a response at the schedule, which is worth saying on the page.
Physician referrals
Give doctors' offices a short page with your fax number, a referral form and the conditions you see most. Track referrals by source, confirm when the patient books, and report back with the patient's consent. Jane's Documo integration sends faxes from the patient chart, which keeps that loop inside your records.
Multidisciplinary clinics
A clinic with physiotherapy, massage therapy, chiropractic and kinesiology under one roof needs a page per discipline, each linked to the right practitioners. Each profession answers to its own regulator, so the copy on each page follows that profession's advertising rules.
Allied-health example
A multidisciplinary clinic that kept its scheduler
A Natural Path To Health is a chiropractic clinic in North York that also offers massage therapy, osteopathy, kinesiology and naturopathy. It runs on ChiroSoft, an on-premises scheduler. MoFluent built around it instead of asking the team to switch.
- An hourly sync from ChiroSoft into a modern CRM that keeps patients and appointments matched and repairs drift
- Online booking that checks each practitioner's open times and takes family and group bookings
- A next-day schedule emailed to each practitioner every night
- A staff dashboard of every booking request that comes in through the website
- Logic that decides which new patients get the clinic's own rebooking reminders
It is a chiropractic clinic, not a physio clinic, but the problems are the same: several practitioners and patients who drift after a few visits.
The 7-Day Clinic Rescue

Measured against a baseline we agree in week one. Details on the clinics page.
Physiotherapy marketing ideas that stay inside the College's rules
In Ontario, the College of Physiotherapists of Ontario's Advertising and Marketing Standard, effective May 1, 2025, expects advertising to be truthful, accurate and verifiable. It also makes the physiotherapist responsible for reviewing ads that others place on their behalf, and that includes your agency. Its resources page answers common questions. In practice:
- No "best physio in the city" and no comparisons with other clinics. The College allows phrases such as "the highest quality of care" when they describe only your own practice.
- No "specialist" unless the College has authorized that title.
- Testimonials are allowed when patients genuinely wrote them, nobody paid for them, and the patient gave informed consent to use a name, photo or health information. Linking to your Google reviews and showing star ratings is acceptable.
- Package prices must say what is included, that services can be bought individually and that unused services are refunded.
- Free assessments can only be advertised in limited ways, such as general health education that states its conditions, or pro bono care for patients in financial hardship.
Ideas that work within those rules
Write a plain-language page for each condition you treat, framed as education. Publish a "what happens at your first visit" page. Send recall messages to patients who stopped partway through a plan. Give referring offices their own page. If you run Jane in Canada, turn on Reserve with Google so patients can book from your Google profile. Our guide to getting more chiropractic and physio patients goes further.
Physical therapy marketing in the US
The same system works for US physical therapy practices. Advertising and payer rules differ by state, so we write to your state board's rules and you approve everything first.
This is a summary, not legal advice. Confirm current requirements with your College or state board.
Questions
Frequently asked questions
How much does a physiotherapy marketing agency cost?
It depends on what your clinic already has. A clinic with a strong website and a managed Google profile may only need follow-up and recall, while a new clinic may need the full build. We price after a free audit call, so you only pay for the parts that fix a real leak.
Do you work with Jane App and Cliniko?
Yes. We put Jane's practitioner and location booking links on the right pages and measure bookings through Jane's Google Analytics or Tag Manager integration, because Jane does not offer an open API. Cliniko has a public API and an embeddable booking page, which allows a closer connection. See our Jane App integration page for the detail.
Can physiotherapists use testimonials and Google reviews in Ontario?
Yes, within limits. The College of Physiotherapists of Ontario says testimonials must be genuinely written by patients, not paid for or written by staff, and that you need informed consent to use a patient's name, photo or health information. Linking to third-party reviews and showing star ratings is acceptable. Claims of superiority over other clinics are not.
How do I get more physician referrals to my physiotherapy clinic?
Make referring easy and make the referrer look good. Give doctors' offices a short referral page and form, book referred patients quickly, confirm the booking, and send a report back with the patient's consent. Track referrals by source so you know which offices send patients and can keep those relationships warm.
What should a physio clinic website include?
A page for each service and condition you treat, a page for each pathway (direct billing, WSIB, auto insurance, physician referral), practitioner bios with their own booking links, your location, parking and hours, and a booking button on every page. It must load fast on a phone, because that is where many patients search for a clinic.
