CRM setup

CRM setup for clinics and trades in Canada

MoFluent sets up and runs the CRM behind service businesses in Canada and the US: the pipelines, the shared text and email inbox, the calendars and the workflows, connected to the scheduler, phone line and forms you already use. Your team signs in at app.mofluent.com or in the mobile app, and we keep it running.

What we set up

CRM setup for small business, without the blank-account problem

A CRM can do a lot. Out of the box it does nothing. Most owners who buy one alone end up with an empty account and a list of tutorials. We hand you a working system.

01

Pipelines

Stages named after your real steps. For a contractor: new lead, contacted, estimate booked, estimate sent, won, lost. For a clinic: new enquiry, first visit booked, attended, on a care plan, lapsed.

02

Two-way SMS and email

One inbox for texts, emails and website chats, shared by the team and available on the mobile app. Customers text your business number, not someone's personal cell.

03

Calendars

Estimate or consult calendars with buffers and travel time, round-robin across staff if you need it, and confirmations by text and email.

04

Workflows

Lead alerts, instant replies, missed call text back, reminders, review requests and follow-up for quotes that went quiet, each with clear stop rules.

05

Forms and phone numbers

Website forms that create or update the contact, add tags and notes, and attach uploaded photos. Business numbers for calls and texts, with call tracking where it helps.

06

Connecting existing tools

Practice management software, field-service apps, spreadsheets and older desktop systems. Where there is no ready integration, we build the bridge.

CRM setups we have built

  • A Natural Path To Health, a North York chiropractic clinic: its on-premises ChiroSoft scheduler syncs into the CRM every hour. Online booking checks each practitioner's open times and handles family bookings, practitioners get a day sheet every night, and staff see website booking requests on one dashboard.
  • Marrast Contracting: every website form feeds the CRM, where a published workflow sends a lead alert and a confirmation to the customer. Its business number lives in the CRM for calls and texts.
  • Ridge To River Electric: the website estimate form feeds the CRM, and a call-tracking number on the site is live.
  • Mark of Success Home Services, a GTA home renovation company: a consult-booking wizard on its website books into a CRM calendar and sends text and email confirmations.

How we set up your CRM

  1. Map the process. How an enquiry arrives, who answers it, how a job or visit gets booked, and what happens after. The pipeline comes from this, not from a template.
  2. Bring in your contacts carefully. We import customers with tags that record where they came from and what they agreed to receive. An imported list is not a list you can text promotions to; in Canada, CASL applies. Our CASL guide explains the basics.
  3. Set up numbers and sending. Business numbers for calls and texts. For US clients, business texting from local numbers has to be registered with the carriers (A2P 10DLC), and we handle that registration. We can also set up a branded sending domain so email comes from your business.
  4. Build and test the workflows. Every workflow is fired with real test contacts and real phones before it goes live, including the stop rules.
  5. Train the team on the parts they touch. Usually the inbox, the pipeline and the calendar. Not the workflow builder.
  6. Run it. We adjust messages, add workflows and fix what breaks when a connected tool changes.

A CRM for clinics

For chiropractic and physiotherapy clinics, the CRM sits beside your practice management software rather than replacing it. Appointments stay in Jane, Cliniko or ChiroSoft; the CRM handles the follow-up, the missed calls and the reviews. See how we connect Jane.

A CRM for trades

For HVAC, electrical, roofing and other contractors, the pipeline tracks every estimate from first call to signed job, and the follow-up for quiet quotes runs on its own. If you schedule jobs in field-service software, we connect to it rather than asking your office to switch.

Judge it by the work

What we can show you is the work: live client systems with synced schedulers, online booking and published workflows, running every day. Ask us to walk you through one on the audit call.

Questions

Frequently asked questions

Do I need to buy CRM software first?

No. The CRM comes with the service: your team signs in at app.mofluent.com or in the mobile app, and we set it up, connect it and keep it running. If you already pay for a CRM, we can look at it on the audit call.

How much does CRM setup cost?

We price after a free audit call. The main drivers are how many pipelines and workflows you need, how many existing tools must connect (older systems without an integration take more work), whether contacts need cleaning and importing, and whether US texting registration is involved. You get a written scope before anything is built.

Can you fix a CRM we already have?

Often, yes. We start by reviewing what is in the account, what is half-built and what is already firing, then fix or rebuild from there. Half-finished workflows that text customers at the wrong time are common, so we check those first.

Do I have to stop using Jane, Cliniko or my field-service software?

No. The CRM sits alongside the tools your team relies on. Our chiropractic client still runs its on-premises ChiroSoft scheduler, which syncs into the CRM every hour. We connect what you already use rather than asking your staff to learn a replacement.

What is the best CRM setup for a small service business?

One that matches how work actually moves through your business: a short pipeline with stages your team recognizes, one shared inbox for texts and emails, a calendar people can book into, and a few workflows that handle replies, reminders and reviews. Start small and add automation once the basics are used every day.

Can I text customers from the CRM in Canada?

Yes, within CASL. Replies to people who contacted you, appointment confirmations and reminders are the normal uses. Promotional texts need consent, and every message should identify your business and offer a STOP option. Our CASL guide covers the basics; confirm your own situation with an advisor.

How do I log in to my MoFluent system?

Use Client login on any page of this site and pick the one you need. The CRM, at app.mofluent.com or in the mobile app, is where your team works the shared inbox, pipeline and calendar. The client portal, where you sign in with a texted code, is where you approve social posts, fill in onboarding and read your reports. If you are not a client yet, start with a free audit call.
